What is Workday Student?
Workday Student is a component of Workday, a leading cloud-based enterprise software system. Workday provides a single, unified system that will replace our legacy Ellucian/Colleague ERP. The Workday solution is built around streamlining and automating processes, and will allow the College, including students, to improve access to student related data.
What is cloud-based software?
Workday is hosted in a secure cloud environment, which means Workday will maintain the application on its servers, and the ACC community will access Workday using the internet.
Why are we changing systems?
The College implemented our current Student Information System (SIS), Colleague UniData, more than twenty years ago, and we have increasingly struggled to update and maintain that aging system. Implementing Workday’s modern, cloud-based SIS will improve access to student information for both students and staff, improve the overall user experience, automate processes, and provide coherent, consistent, and relevant data to decision makers.
How is the ACC community engaged with the Workday project?
Core teams of ACC staff and faculty will act as functional leads for documenting our current student related processes, and migrating those processes to Workday. These Core Teams will work closely with subject matter experts from across the college, collaborating with experienced Workday consultants, to ensure the College’s student related processes are effectively incorporated into Workday.
We have also established a Change Management Committee to make the transition as smooth as possible by keeping you informed about the project, helping you understand what’s happening and when, and sharing information and resources needed to prepare you for a new way of working. This Committee will also solicit feedback from the ACC community during the life of the project.
What is the timeline for implementing Workday at ACC?
Workday Student will go live in 2025. Implementation, beginning with Planning in April, 2023, and progressing to Architecture & Configuration, Deployment and Testing, is expected to take 30 months. During this period, there will be multiple deployments of different functionality as they are moved to production.

What type of training will we receive for Workday Student?
Training will be delivered in multiple formats and provide several opportunities to build knowledge and skills. Training will include Campus Conversations, on-line technical sessions, small group activities, on-demand content, and traditional instructor-led training.
How long are the training sessions and videos?
The duration of training varies by role and function.
Will we be customizing Workday or configuring it?
ACC’s current Ellucian legacy system has been highly customized to respond to our unique needs, which has added a layer of complexity that must be addressed whenever system updates and/or changes are required. This has often made these updates difficult to implement, and frequently resulted in significant time lags on updates. We will avoid this whenever possible with the new system. Workday offers configurable frameworks that can be modified and extended, but do not make changes to the system that will disrupt the ability to routinely update the Workday ERP.
Who will support Workday once we go live?
Project leadership has developed a plan for providing support to end users after the initial go-live (sustainment plan) and a Center of Excellence (COE). We anticipate having representatives at each institution who will be able to help with issues or questions, but that plan has not yet been finalized. The COE will, among other things, manage future Workday releases and institution requests for changes or updates to Workday.
Who is involved with the project?
The SIS Implementation Governance Structure is on our website . The site lists the major committees and workgroups, discusses their role and function, and lists the membership. In addition, many subject matter experts, functional users, liaisons, and ambassadors are participating in the implementation.
We are also working directly with a Workday team to assist us with the implementation. This partnership is explicitly designed to provide the College’s project team expert guidance throughout the duration of the implementation to ensure we have a modern, sustainable solution that improves our processes and hopefully makes all our work-lives a little easier.
When will we actually move to Workday Student?
The official kick off of the Workday Student project began in April, 2023. Our “go live” date is Fall, 2025, although many functions will be fully implemented earlier (e.g., enrollment, faculty loading, etc.). Workday will be the system of record for Student beginning in the 2025-2026 academic year.
